Job description:Our client is seeking an experienced Business Operations & Support Specialist to support sales, customer service, and operations in a fast-paced office environment. This role is critical to daily business functions including CRM management, billing and invoicing, eCommerce order processing, and operational support.
This position is ideal for a highly organized, detail-driven professional who enjoys owning processes, working across departments, and contributing to business growth. Strong growth opportunity for an experienced individual looking to expand responsibilities.
Key Responsibilities
Business & Customer Support
- Support sales and operations teams with daily administrative and operational tasks
- Answer inbound calls and emails professionally
- Communicate with customers regarding orders, payments, and account questions
- Maintain accurate customer records and documentation
CRM & Data Management
- Update and maintain CRM records (customers, contacts, opportunities)
- Enter leads, manage pipelines, and update deal stages
- Run basic reports and support sales activity tracking
- Ensure data accuracy and follow documented processes
Billing & Accounts Receivable
- Prepare and send customer invoices accurately and on time
- Process credit card payments securely
- Follow up on outstanding accounts receivable in a professional manner
eCommerce & Order Processing
- Process incoming eCommerce orders accurately
- Coordinate with operations and shipping teams to resolve issues
- Respond to customer inquiries with a solution-focused mindset
- Assist with pricing checks, product updates, and inventory accuracy
Office & Inventory Support
- Maintain internal inventory and supply lists
- Ensure office supplies are stocked and organized
- Support daily office operations and assist team members as needed
Required Experience & Qualifications
- 7+ years of experience in business operations, administrative support, account support, or office management
- Experience working with CRM systems (or ability to learn quickly)
- Experience with invoicing, billing, or accounts receivable
- Strong organizational skills and attention to detail
- Professional phone and email communication skills
- Ability to manage multiple priorities in a fast-paced environment
Preferred Experience
- CRM platforms (HubSpot or similar)
- eCommerce order management
- Data entry, reporting, and record maintenance
- Billing, payments, and customer account follow-up
